Board -> Policies and Procedures Outline

1. Policies for Tryouts

a. Tryout Coordinator: Two Board members should be appointed to oversee the Boys and Girls tryouts. The Coordinators will be the contacts for advertising, recruiting and organizing evaluators, running the tryouts and accurately reporting tryout results.

b. Evaluators: Optimum number is five: Ideally the group should consist of: returning A team and B team head coaches and three outside evaluators. Outside evaluators should be volunteers who a) have no children being evaluated, b) have some experience coaching and c) not be a high school coach. Tryout Coordinators should not evaluate, but organize the tryout.

c. Tryouts: An evaluation form listing players names, numbers and their performance of basic skills and scrimmaging should be employed using a 1-5 rating system. The rating system is a guide and does not precisely dictate the outcome of the tryout. Players should be selected by a consensus of the evaluators immediately following the tryout. The evaluators should rank three alternate choices (in order) in the event a player or players elect not or cannot join the team.

d. Notification of players: Upon confirmation of team selection, by the Tryout Coordinator, rosters shall be typed by the secretary and posted on the website.

e. If a child drops off a team: If a player elects not to participate after being selected, the Coach should contact the Tryout Coordinator. The next highest rated player from the tryouts should be substituted unless otherwise determined by the Board.

f. Player misses a tryout: If a player misses the tryout due to an acceptable excuse such as injury or illness, they may be added to a team by the Tryout Coordinator after discussion with the evaluators and based on previous knowledge of the player’s ability.

g. Fielding Parents’ Complaints on tryouts: All complaints should be directed to a representative, or representatives of the Grievance Committee. Contact telephone numbers and/or the website address should be included on all registration sheets. The Grievance Committee will communicate with the Board as needed.

2. Policies for Coaching

a. Selection of Head Coaches: Coaching opportunities should be mentioned in the tryout notice. Applicants should let their interest be known to a Board Member and a selection committee may interview interested applicants. First year coach applicants should not participate in tryout evaluations. A head coach will be selected by the Board after tryouts for every team.

b. Head Coach/Assistant: The head coach should appoint an assistant coach or coaches. The assistant coach is not guaranteed a permanent position nor is their child guaranteed a permanent spot on the team.

c. Playing Time: At the younger levels (4th, 5th and 6th grade teams), players should receive approximately equal playing time in each game. Thereafter, coaches should use common sense in trying to equalize playing time during the course of the year, and strive to have each child play at least one quarter of every game. Playing time is not guaranteed to be equal, but with a little effort it can be “fair”.

d. Screaming: A conscious effort to eliminate screaming should be made. Chastising players on the court during games should be avoided. Praise publicly, critique privately.

e. Fielding Complaints – Grievance Committee: Annually, the Board shall appoint a Grievance Committee (GC) made up of at least three members of its body. The GC shall handle and seek to resolve any and all conflicts or disputes which may occur between or among players, parents and coaches. Examples of disputes that will be addressed by this policy are playing time, assignment of players to teams, disciplinary matters, etc. Any individual may file a grievance, and may do so in the following manner:

1. Generally, all disputes should be discussed with the coach. A discussion with the coach should be able to rectify almost all disputes. If the coach and the grievant cannot resolve their dispute, then the grievant may make a formal complaint.

2. (Formal) – Grievant may file a written complaint identifying all known facts material to the matter or dispute on which the grievance is based. Grievant should email written complaint to: board@duxburyyouthbasketball.org

3. The GC will convene to consider the complaint in a reasonably practical manner, considering the circumstances involved and as time allows. After due consideration, the GC will render a decision in a timely and judicious manner. All judgments made by the GC will be final and will take effect immediately. Judgments involving sanctions, suspensions or expulsions shall require approval, by majority vote, of the Board of Directors, prior to issuance by the GC.

f. Disciplining children: Parents should be made aware of problems including poor attendance and misbehaving. Reduced playing time is an acceptable method of discipline. The head coach may ask the Grievance Committee to remove a child if problem persists. The Board, after recommendation from the Grievance Committee, by a majority vote of the Directors, may remove a child for disciplinary reasons.

g. Discipline of coaches: Allegations of abuse or misconduct should be brought to the Grievance Committee’s attention ASAP. An attempt to verify serious allegations should be made and a meeting should be set up between the Grievance Committee and the coach. The Board, after hearing the recommendation of the Grievance Committee may suspend or remove a coach by a majority vote of Directors with or without a meeting, with or without cause.
